Write project plan​


You have a group of people you work with and together you have been assigned to carry out a project. You will write a plan for your group, but also for your client. The plan states what you are going to do, how you are going to do it, so how you are going to do it, but also when what will happen and with whom. So you will think carefully and work out the entire plan step by step. You are on the right track if you prepare well by drawing up an action plan before you actually start a project. With a good project plan, the implementation will become a lot easier and clearer. A project plan that has been drawn up point by step and step by step gives you something to hold on to when implementing it.

The start of a project plan can only start when you have a clear idea of what the client's problem is or what his or her wish is. So you first look at what the person wants and then you also have to look at what is possible financially. Is this possible? You can then create a project plan. If this is not possible, you must first adjust the conditions.


Parts project plan​


The client always looks for a project leader. When this is found, there is a general discussion of what an assignment entails. The client will then present his or her business case. Subsequently, the project leader chooses whether or not to accept the assignment and to lead the project. When the project is accepted, the project leader will write a project plan or an action plan with his team members. Parts that you see reflected in a project plan are:

Write a step-by-step project plan​


You can write a project plan based on a number of steps. These steps are now explained in more detail:


  • You are the first to accept an assignment. Global agreement must first be reached with the client on the business case. Then you analyze the client's request to determine whether the project is feasible and what the preconditions are and whether you can meet them.
  • Do you accept the assignment? Okay, time for the next step. The content of the project plan must now be determined. Check out what should be included in the plan. How detailed do you go to work everything out? You will explore the assignment and make an estimate of the difficulty of a project.
  • What are you going to make? You are going to define the project result. Your team will collect information to clarify what a project should deliver.
  • Planning implementation, who will do what? Make concise plans and therefore factors such as time, money, organization and information are discussed.



Writing project plan tips​


Not everyone can just write a project plan. There are different ways and that's why it's good to see what options there are. We have therefore prepared tips for you that you can use when writing a project plan.


  • Always be specific and precise. As a result, you deviate less quickly and that is important to ensure that you can remain specific. Often SMART goals are also used. SMART stands for Specific, Measurable, Acceptable, Realistic and Time-bound.
  • Do preliminary research, see if it is feasible and what you need.
  • Spelling and sentence structure are important. You need to see if everything is clear and looks good. Have someone proofread the text for content and spelling. There should be no mistakes, this does not come across as professional. So take the time to check it yourself and have it checked too. After a while you read over your own mistakes, because you know the text very well and can often dream what it says.
  • Don't use vague language! It is important that everything is immediately clear. Therefore, explain foreign words immediately and repeat the meaning when necessary. Empathize with the target group so that you can think of what needs to be explained in more detail.
  • Think carefully about who your target audience is. Because of this you also know how to approach a project and what to pay attention to. Younger people are treated differently than older people. Therefore, pay close attention to the possibilities and take advantage of them! A good preparation is certainly part of that!
  • Be honest, if it doesn't work, report it and look at other options. Even if you always want to find a solution, it may be that you can't figure it out on your own and then it's better to be honest about that too.

A project plan can be used for more than just study purposes. Are you going to restore an old building, renovate your home or build an extension? You can also write a project plan for yourself in those cases. If you do this in detail, you will enjoy it a lot. You start by making the cost picture, because without a budget there is no renovation or extension possible. If the costs are very high, you can go to the bank for a loan, a mortgage increase or a second mortgage.

Make sure you have the financial part in order, so that you have certainty about it and do not have to stop halfway because the money is gone. Then you make a timetable and try to stick to it. Have you already ordered the materials, because that too (having everything at home) is a condition to be able to start. Have you already approached the professionals, or are you doing everything yourself with a few friends? Has the container been ordered? There are many things that are included in the project plan even before the project starts. Whenever you think of something that needs to be arranged, write it down in the plan under the conditions. It is a challenge to bring a project to a successful conclusion yourself and very nice if everything goes according to the project plan. Checking things off is the best part.
